Indianapolis Public Schools advances digital management for student records

Record keeping at Indianapolis Public Schools (IPS) is advancing with a new digital initiative aimed at improving efficiency and compliance. The IPS Operations team is undertaking a project to manage student records, focusing on digitizing over 1.6 million pages of transcripts, removing outdated records per Indiana’s laws, and establishing a centralized records hub at Francis Parker School 56.

The project employs seven temporary staff members who are sorting, categorizing, and processing records from various schools within the district. To date, more than half of the historical student records have been reviewed and purged, resulting in the secure destruction of about one million documents. Approximately 15–20% of essential documents will be kept for long-term archival purposes.

In April 2025, the IPS Board of School Commissioners approved a partnership with Crossroads Document Services to scan transcripts from 1940 to 2002. These digitized files will be indexed by name, date of birth, and student ID before being stored securely in a cloud-based system. The full process is expected to take 18 months and aims to improve alumni services and access to historical data.

On May 20, during an IPS board meeting, three staff members were recognized by the Indiana Archives and Records Administration (IARA) with an award for “Outstanding County Records Management.” Zach Mulholland, executive director of Operations Strategy; Brandon Sweeney, operations project manager; and Cassandra Turner, student records associate received this recognition for their leadership in modernizing the district’s record-keeping system.

“This recognition by the state underscores IPS’s commitment to operational excellence and thoughtful stewardship of student records – ensuring both compliance and care in preserving the academic legacies of thousands of students,” said Mulholland.
